Location: Oxford

Salary: £12.50ph

Hours: 20 Hours per week

Shift Times: Flexible

Job Type: Permanent


Principle Purpose:

The Executive Assistant is responsible for carrying out administrative work on behalf of the CEO and COO. The role of the Executive Assistant is to free the CEO and COO’s time from organising and administrative tasks so that they can spend maximum time on strategic tasks.


Key Responsibilities and Duties:

  • Acting as a first point of contact: dealing with correspondence and phone calls
  • Managing diaries and organising meetings and appointments
  • Booking and arranging travel, transport and accommodation
  • Organising company events and conferences
  • Reminding the CEO and COO of important tasks and deadlines
  • Typing, compiling and preparing monthly reports, presentations and correspondence
  • Managing databases and filing systems
  • Implementing and maintaining procedures/administrative systems
  • Liaising with staff, suppliers and clients
  • Collating and filing expenses
  • Minuting group meetings:
  • Miscellaneous tasks to support the CEO and COO, eg completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting research
  • This role will require occasional travel and occasional flexible working to accommodate minuting of meeting listed above and attendance at the annual company conference.
  • Any other tasks as delegated by the CEO or COO

      • General Manager Meetings
    • Every six-months
      • Lab Lead Meetings
      • Nurse Manager Meetings

Requirement Essential
Education and qualifications

* A-Level or equivalent
* Finance, Business or Management Qualification

Experience and knowledge

* knowledge of customer service principles and practices
* A knowledge of standard software packages and the ability to learn company-specific software if required
* required language proficiency
* good data entry and typing skills
* knowledge of administration and clerical processes

Skills and abilities
